Iniziare
Welcome to SiteSkyline Email Campaign Manager. This guide walks you through everything you need to launch your first automated email campaign in just a few minutes. Whether you want to welcome new customers, follow up on purchases, or re-engage inactive subscribers, your entire email automation system lives directly inside your WordPress admin.
Prima di iniziare
Make sure you have the following ready:
- A self-hosted WordPress site — the plugin is designed to run on your own WordPress installation.
- A working email setup — your site must be able to send emails reliably. We recommend using an SMTP plugin or a transactional email service to keep your campaigns out of spam folders.
- Optional (but powerful) plugins:
- WooCommerce — unlocks order-based triggers, dynamic coupon generation, and customer purchase history targeting.
- Contact Form 7, WPForms, or Ninja Forms — allows you to trigger campaigns when a specific form is submitted.
Installazione
- Download the plugin zip file from your SiteSkyline account.
- Nel tuo pannello di amministrazione di WordPress, vai a Plugin → Aggiungi nuovo e clicca Carica plug-in.
- Select the zip file and click Installa ora.
- Once installed, click Attivare.
After activation, a new menu item called Email Manager appears in your WordPress admin sidebar. This is your campaign command center.
Prima configurazione
Let's configure your sender identity before you create your first campaign.
- Vai su Email Manager → Settings.
- From Name — Enter the name your recipients will see (e.g., "The Coffee Shop Team").
- From Email — Enter the email address your campaigns will be sent from (e.g., "[email protected]").
- Enable Unsubscribe — Make sure this is toggled on. This automatically places a one-click unsubscribe link in the footer of every campaign email.
- Clicca su Salva impostazioni.
Tip: You can also adjust the Queue Batch Size here if you need to control how many emails are sent per cron run. The default of 50 is a safe starting point.
Your pre-built campaign templates are seeded automatically the moment you activate the plugin. Head to Email Manager → Dashboard to see them.

Suggerimenti e migliori pratiche
- Monitor key metrics first: Check your open and click rates to quickly gauge overall engagement.
- Leverage pre-built templates: Save time by starting with templates tailored to specific goals like onboarding or retention.
- Use the toggle for quick changes: Pause or activate campaigns directly from the Dashboard without entering the campaign builder.
- Keep an eye on the queue: The queue pending count helps you stay aware of emails waiting to be sent and manage your sending schedule.
Campaign Builder Wizard
Cosa fa
The Campaign Builder Wizard walks you through three simple steps to create a new email campaign. You start by choosing a source and a specific trigger event, then define exactly which customers or users should receive the campaign using targeting conditions, and finally build the email sequence. From the Email Manager, click the New Campaign button or edit an existing campaign to launch the wizard.
Come usarlo
- In the Email Manager, click New Campaign (or open an existing campaign to edit it).
- Step 1 – Choose Source & Trigger
- Select the integration source: WordPress Core, WooCommerce, WPForms, Modulo di contatto 7o Ninja Forms.
- Pick the specific event that starts the campaign (e.g., Order Completed, User Registration, or a form submission).
- If you chose a form plugin, enter or select the form ID.
- Step 2 – Define Targeting Conditions
- Add conditions to narrow your audience. The available conditions depend on your source selection:
- WooCommerce: product filters, category/tag/brand rules, order value ranges, customer lifetime metrics, and more.
- WordPress: filter by user role.
- Form plugins: match form field values (equals, contains, not empty).
- Set the match logic to ALL (must meet every condition) or ANY (meet at least one condition).
- Add conditions to narrow your audience. The available conditions depend on your source selection:
- Step 3 – Build the Email Sequence
- Compose the email series that will be sent when the campaign is triggered. (This step uses the Email Sequence Builder.)
- Review your selections and click Save Campaign.

Suggerimenti e migliori pratiche
- Start broad, then refine. Begin with a wide audience (e.g., all orders) and add conditions only as needed to avoid missing potential recipients.
- Use ALL vs. ANY wisely. ALL conditions create a very specific segment; ANY conditions cast a wider net. For example, if you want to target orders that contain both a product E a category, use ALL.
- Test with customer lifetime metrics. Conditions like Last Purchase Age Range or Total Spent can help you re-engage lapsed customers or reward high-value ones.
- Leverage form field matching. When a campaign is triggered by a form submission, use field rules to send personalized follows-ups based on the answers your customer gave.

- Customize freely – Treat the template as a starting point. Personalize the content, images, and calls-to-action to reflect your brand’s voice and audience.
- Test different templates – Try using different templates for different segments of your audience to see which performs best for each stage of the customer journey.
- Combine with other features – After creating a campaign from a template, use the campaign builder wizard or campaign management tools to fine-tune scheduling and automation.
Email Sequence Builder with Conditional Branching
Cosa fa
The Email Sequence Builder lets you design multi‑step automated email campaigns that adapt to how each recipient interacts with your messages. By setting conditional follow‑ups based on whether an email was opened or not, you can create personalized, behavior‑driven email journeys.
Come usarlo
- In the Campaign Editor, go to Step 3 of the wizard to open the Email Sequence Builder panel.
- The root email appears as the first step. Click Add Follow‑up Email to add a new step connected to the root or to any existing step.
- For each follow‑up email, choose a Follow‑up Condition: send if the previous email was opened, was not openedo after a delay (regardless of open status).
- Imposta il Send Timing — choose Immediately to send without delay, or After Delay and then enter a Delay Amount E Delay Unit (minutes, hours, days, weeks).
- Continue adding follow‑up emails to build a branching flow. The visual tree shows each step with connector arrows and condition labels. You can drag or configure sequence tree nodes as needed.
- To remove a step, select it and click Eliminare.
- When you’re finished, save the campaign. The sequence is stored as part of the campaign settings.
Impostazioni e opzioni

|---|---|
| Send Timing | Scegliere Immediately to send right away, or After Delay to wait before sending. |
| Follow‑up Condition | Determines when this follow‑up email is sent: only if the previous email was opened, only if it was not opened, or after a delay (regardless of open status). |
| Delay Amount | The number of time units to wait (used when Send Timing is set to After Delay). |
| Delay Unit | The unit of time for the delay: Minutes, Hours, Dayso Weeks. |
Suggerimenti e migliori pratiche
- Usa il was opened condition to send a different message to engaged recipients and the not opened condition to re‑engage those who missed the first email. This keeps your messaging relevant.
- Keep delays short enough to maintain context. Long delays (e.g., several weeks) can make the follow‑up feel disconnected from the original email.
- Avoid creating too many branches in a single sequence. A simple, clean tree is easier to manage and less likely to confuse both you and your subscribers.
- Test your sequence with a small segment first, and always preview the timing and conditions to confirm emails will be sent as expected.
Email Editor with Visual, HTML & Live Preview
Cosa fa
This editor lets you create email content for your campaigns using a visual WYSIWYG editor, raw HTML source, or a live preview that shows exactly how the email will look. You can switch between desktop and mobile previews, and insert dynamic merge tags into your subject line and body.
Come usarlo
- Open the Campaign Editor and navigate to the Sequence Builder.
- Click an email step to open the Email Step modal.
- Type your Subject Line in the field at the top. Click any Merge Tags (shown below the field) to insert dynamic data.
- Compose the email body using one of the three editor tabs:
- Visual Editor: Use the formatting toolbar (bold, italic, underline, headings, lists, alignment, links) to create your content.
- HTML Source: Switch to this tab to edit the raw HTML code directly.
- Anteprima dal vivo: Switch to this tab to see a rendered view of your email. Toggle between Desktop E Mobile viewports to check the layout.
- The preview automatically updates as you edit in any mode, showing the From, A, E Subject headers.
- When satisfied, close the modal to save your email step.

| Email Content | The body of the email, editable via Visual Editor or HTML Source. |
| Merge Tags | Clickable tags (e.g., {{customer.name}}, {{order.id}}, {{coupon.code}}) that insert dynamic data into the subject or content. |
Suggerimenti e migliori pratiche
- Usa il Anteprima dal vivo tab with the mobile viewport to ensure your email looks good on phones and tablets.
- Insert merge tags into your subject line to personalize emails (e.g.,
{{customer.first_name}}) — this can improve open rates. - When editing raw HTML, switch to the Visual Editor afterward to check that your code renders as expected.
- Changes you make in any editor tab sync in real time, so you can freely toggle between modes without losing your work.
Dynamic Coupon Generation per Recipient
Cosa fa
This feature lets you automatically generate a unique, single-use WooCommerce coupon code for each recipient of an email step in your campaign. It ensures every customer receives a personalized discount that can be used only once, and you can control the discount type, amount, and expiration period.
Come usarlo
- Apri il Campaign Editor and select the email step where you want to include a unique coupon.
- In the email step modal, check the Include unique dynamic coupon code in this email box.
- When the coupon configuration fields appear, choose a Discount Type (Percentage or Fixed Amount) and enter a Discount Amount.
- Imposta il Expiry (Days) to define how many days the coupon remains valid.
- In your email content, use the
{{coupon.code}}E{{coupon.amount}}merge tags to display the generated code and discount value. - When the campaign runs, a real WooCommerce coupon is created per recipient per email step and automatically available for use.

| Discount Type | Determines whether the discount is a percentage (%) or a fixed amount ($). |
| Amount | The value of the discount (a number). |
| Expiry (Days) | The number of days until the coupon expires. |
Suggerimenti e migliori pratiche
- Always include the
{{coupon.code}}merge tag so recipients can see and redeem their unique code in the email. - Use a short expiry (e.g., 7–14 days) to create urgency and encourage quick conversions.
- Since each coupon is single-use and unique per recipient, you don’t need to manage shared codes or worry about code guessing.
- Test the coupon generation by sending a preview email to yourself first to verify the merge tags work as expected.
Campaign List & Management
Cosa fa

- Export a campaign as JSON before making major changes — this gives you a backup you can restore later.
- Bulk‑activate or bulk‑pause campaigns to manage multiple email flows at once, saving time over editing each one individually.
- Duplicate a campaign to reuse its structure and settings for a similar campaign, then adjust the few items that differ.
Campaign Import & Export
Cosa fa
Export single or multiple campaigns as JSON files for backup or migration, and import campaigns from JSON files using a simple drag‑and‑drop interface. When importing, you can choose whether to preserve the campaign’s original status or apply a default Draft status.

- Vai su Email Manager e aprire il Campaigns scheda.
- To export a single campaign, click the Export JSON link next to that campaign. A JSON file containing all its settings (trigger, conditions, sequence, coupon configuration) will download.
- To export all campaigns at once, click the Export All JSON button at the top of the page.
Import Campaigns
- On the Campaigns tab, click the Import JSON button to open the import modal.

Suggerimenti e migliori pratiche
- Always export your campaigns periodically as a safety backup, especially before making major changes.
- When importing campaigns from another site, use Set status to Draft to review and adjust settings before making them live.
- Check that the JSON file you are importing was exported by this feature. Manually editing the file may cause import errors if the structure is changed.
- Usa il Export All JSON option to quickly clone your entire campaign setup to a test or staging environment.

- Write a clear Unsubscribe Message to maintain a positive customer experience even when someone opts out.
- Label custom triggers descriptively so they are easy to identify in trigger dropdowns, and ensure the hook name matches an existing WordPress or WooCommerce hook.
Email Queue Viewer

- A paginated table shows all unsubscribed email addresses and the date they unsubscribed.
- Usa il Cerca box to filter the list by a specific email address.

Form Plugin Integrations
Cosa fa

- Go to the Campaign Builder and open Step 1 (Source & Trigger).
- Under “Form Plugin”, select the form plugin you are using (CF7, WPForms, or Ninja Forms).

- If you want to narrow down which submissions start the campaign, add field-value conditions:
- For each condition, pick the form field name.
- Choose an operator: equals, containso not empty.
- Enter the expected value that the submitted data must match.
- Complete the rest of your campaign settings as usual.
- When a visitor submits the selected form and all conditions (if any) are met, the campaign will be automatically triggered.
Impostazioni e opzioni
| Collocamento | Cosa controlla |
|---|---|
| Form ID | Determines which specific form’s submissions will trigger the campaign. |
| Form Field Rules | Optional conditions that filter submissions based on field values (e.g., equals, contains, not empty). |
Suggerimenti e migliori pratiche
- Use field-value conditions to target specific form submissions (e.g., only trigger when a user selects a particular option or enters a certain value).
- If you don’t add any conditions, every submission of the chosen form will trigger the campaign.
- After the form is submitted, submitted field values become available as
{{form.field_name}}merge tags, which you can use to personalize your emails. - Make sure your form includes an email address field, as it’s needed to send the campaign email.
WordPress User Registration Trigger
Cosa fa
This feature lets you launch automated email campaigns whenever a new user registers on your WordPress site. You can target the campaign to specific user roles, so the right message reaches the right audience. It's ideal for welcome sequences, onboarding emails, or role-based content delivery — triggered instantly on signup.
Come usarlo
- Apri il Campaign Builder and go to Step 1.
- Selezionare WordPress Core as the integration source.
- Scegliere New User Registration / Signup as the trigger event.
- (Optional) Imposta un Target User Role to filter which registrations fire the campaign (e.g., only Subscribers or Customers).

| Target User Role | Filters which user roles will trigger the campaign. Choose Any to fire for all registrations, or select a specific role (e.g., Subscriber, Customer) to only trigger for users with that role. |
Suggerimenti e migliori pratiche
- Target by role – Send different welcome emails to subscribers and customers without creating separate campaigns for each role.
- Build sequences – Because this trigger works with the email sequence builder, you can design multi-step onboarding flows that engage users over several days.
- Personalize with merge tags – Include the customer name, email, role, and site name to make every message feel one-to-one.
- Test before launching – Create a test user with the target role to confirm the trigger fires and the email sequence delivers as expected.
Custom Trigger Definitions
Cosa fa
Turn any WordPress or WooCommerce action hook into a campaign trigger. You define a unique key, a descriptive label, the exact hook name, and the type of data the hook provides. Once saved, the trigger appears in the campaign builder alongside built-in triggers, and when the hook fires, the system automatically extracts the relevant order or user data to match active campaigns.
Come usarlo
- Vai su Email Manager → Settings e scorrere fino a Custom Triggers sezione.
- Fare clic su Aggiungere button to insert a new custom trigger row.
- Fill in the following fields for each trigger:
- Trigger Key – A unique identifier for the trigger.
- Label – A human‑readable name that will appear in trigger dropdowns.
- Hook Name – The exact name of the WordPress/WooCommerce hook you want to listen on.
- Data Type – Choose the type of data the hook provides: Nessuno (manual trigger), Order IDo User ID.
- To remove a trigger, click the Remove button on its row.
- When you are finished, click Save Custom Triggers.
- The new triggers will now appear in the campaign builder’s trigger selection dropdown.

Suggerimenti e migliori pratiche
- Use a clear, consistent naming convention for Trigger Key E Label so you can quickly identify triggers in the campaign builder.
- Double‑check the spelling of the Hook Name—even a small typo will prevent the trigger from working.
- Only use this feature if you are comfortable with WordPress or WooCommerce hooks and know what data they pass (if any).
- After saving, test your custom trigger by performing the action that fires the hook and verifying that the expected campaign runs.
Merge Tag System
Cosa fa
Merge tags are smart placeholders you can insert into your email subject lines and body content. When the email is sent, each tag is automatically replaced with the recipient’s actual data—like their name, order details, or a personalized coupon. This lets you send dynamic, tailored messages without having to write each one individually.
Come usarlo
- Apri il Campaign Editor and click to edit an email step.
- In the email subject or content field, position your cursor where you want the personalized information to appear.
- Look for the merge tag button or icon in the editor toolbar (often labeled with
{}or “Insert merge tag”). Click it. - From the list that appears, choose the tag you need—for example,
{{customer.name}}for the recipient’s name or{{order.total}}for the order total. - The tag will be inserted into your text. Repeat steps 2–4 to add as many tags as you like.
- When you’re finished, save the email. All tags will be replaced with real data at the moment the email is sent.
Impostazioni e opzioni
This feature doesn’t have any configurable settings. Merge tags are used directly in your email content and are replaced automatically based on the data associated with each recipient and event.
Suggerimenti e migliori pratiche
- Double-check tag spelling – A typo in a merge tag (like
{{cstomer.name}}) will result in the placeholder being sent as-is instead of the intended value. Always use the provided list to insert tags. - Preview before sending – Use the email preview feature to see how the tags will look with sample data. This helps you catch missing tags or incorrect formatting.
- Use tags naturally in sentences – Write your copy as you would normally, then insert tags where they fit. For example: “Hi
{{customer.name}}, your order{{order.id}}shipped today!” - Combine tags with conditional content (if supported) – For a more advanced approach, some tools allow you to show or hide blocks of text based on a tag’s value, making your emails even more relevant.

- Review the follow-up logic to ensure it matches your specific goals. You can adjust the conditions for opens, clicks, and delays to better fit your audience behavior.
- Test each campaign with a small segment before sending to your full list. This helps you see how the automation performs and refine your content.
- If your Pro license becomes invalid, these campaigns will be automatically removed. Keep your license active to retain access.
